What is the name for the new electronic research administration software?
West Virginia University Research Administration Portal (WRAP)
When will I hear more about the implementation?
We will be doing regular updates on the website and in eNews. The timeline for implementation will be announced in the first Quarter of 2024.
Which module is going first?
Grants and Agreements Implementation will be the first to launch in early 2024. The implementation project for Grants and Agreements is expected to take 56 weeks.
When will I start using the new software?
Each module will have an implementation project and launch date. These dates and transition plans will be communicated on the website and in eNews.
Will we have to transfer our protocols, grants, etc. to the new system?
We are working to identify the data transfer needs right now. The goal will be to have the necessary data transferred to the new system instead of having PIs move the records. The specifics for each module will be announced as we begin implementation.
Will we have to work in two systems?
We will be implementing one module at a time so using the new system and other systems
such as WVU+kc will be required. The implementation schedule is designed to limit
the timeframe for needing to use two systems. For example, managing an Award and
managing an IRB protocol. We will communicate transition plans as we begin implementation.
And there will be support available throughout the transition.
What areas will be affected?
We will be implementing six Huron modules – Grants & Agreements, IRB, IACUC, Conflict of Interest, Safety, and Animal Operations. Every business process currently within WVU+kc will be impacted by the new software. Other business processes may be impacted. We are exploring options during the Discovery Phase.
How can I expect to be involved?
The research community will be invited to participate in user groups and testing
as appropriate for the module. If you are interested, please email,
researchportal@mail.wvu.edu and provide your name and the module(s) you are
interested in.
What will be the significant differences between the new system and WVU+kc?
The new system has a modern, intuitive interface with automated workflows, an integrated dashboard to track all submissions, advanced reporting capabilities, significantly decreased data entry, integration between most modules and other services like Citi, and is “R1 Ready” and will continuously be compliant with federal regulations as part of the software services provided by Huron.
